Guest access approved by a sponsor

On this page
The sponsor is the person in your company who vouches for the guest, for example the colleague they are visiting. The guest enters the sponsor’s e-mail in the sign-in form, and the sponsor receives an e-mail to activate access.
Where to set it up
In Portal settings → Look and access → Sponsor box, the Sponsor e-mail at registration field can be:
Hidden: no sponsor.
Optional: the guest may enter one. They still receive their own confirmation e-mail; the sponsor receives a link to unlock access, useful if the guest cannot read their e-mail.
Required: the guest must enter one, and the options below apply.
With a required sponsor
Option | What it does |
|---|---|
Who activates access | The guest or the sponsor (with the usual temporary access); only the sponsor (no temporary access, the default); or nobody: the guest is connected right away, the sponsor is told and can revoke. |
Accepted domains for the sponsor | For example |
Time to approve (minutes) | From 5 to 1440, default 60. When time runs out, the request expires on its own. |
Send a copy to the administrators | Portal administrators also receive the e-mail and can approve. |
What the sponsor receives
An e-mail with the guest’s name and e-mail and the buttons Approve access and I don't know this person. When approving, they can change the access days if the guest chose them.
Approve from the dashboard
Pending requests appear under Requests with the “Waiting for the sponsor” badge: Approve activates access on the sponsor’s behalf.
Frequently asked questions
Does the sponsor need an account in the dashboard?
No. The sponsor only receives an e-mail with the links to approve or reject.
What happens if the sponsor does not respond?
When the approval time runs out, the request expires on its own and the guest does not get access.
